We are looking for a Secretary who can handle a wide range of administrative and logistics-related tasks with accuracy, confidence, and enthusiasm. In this role, you will serve as the first point of contact for clients, drivers, and colleagues, ensuring smooth daily operations and efficient communication throughout the organization.

  • Managing calendars and scheduling appointments and meetings
  • Handling inbound and outbound communications via phone, email, and mail
  • Supporting data entry, file keeping, and document management
  • Providing telephone support using multi-line phone systems and maintaining professional telephony etiquette
  • Organizing office operations, including project coordination, filing systems, and document control
  • Delivering high-quality customer service and assisting with administrative inquiries
  • Monitoring office management needs such as placing orders
  • Using Microsoft Office, Google Workspace, and other relevant software for administrative tasks
  • Serving as the main point of contact for recruitment agencies, managing communication and candidate coordination
  • Handling logistics scheduling, including calling truck drivers, arranging pick-up schedules, and confirming appointments
  • Ensuring compliance with local logistics laws and knowing the appropriate contacts for permitting, dispatch, or regulatory needs
  • Performing all administrative tasks related to logistics and transportation workflows

Qualifications

  • Demonstrable experience as a secretary or in a similar administrative position
  • At least 2 years of experience in a logistics or warehouse environment preferred
  • Strong computer skills and digital literacy, including Microsoft Office and Google Workspace
  • Excellent organizational skills with high accuracy in typing, data entry, and documentation
  • Strong communication skills in Dutch; English proficiency required; German is a plus
  • Experience with front desk duties, telephone systems, customer contact, and office management
  • Experience in medical or dental office administration is a plus
  • Service-oriented mindset with excellent telephone etiquette and customer support skills
